You can use syncthing to get files from all of your devices to your central server and then use something like FreeFileSync to backup the entire folder structure to another drive.

The downside was the cost of the 2nd machine (~400$) and running it (~5$/month) and the time involved.

I haven’t. I always liked to have the possibility to use GNOME on my machine. That wouldn’t work then if I were to have a Ubuntu VM, right?

Also thought about that a lot. The most important is that your people can access your data. My partner and bestie both have LUKS keys on all of my devices.
Maybe do a test run with them to see if they can actually access it.
